PowerHost AI Privacy Policy

1. Who we are
PowerHost AI is operated by Superhost AI LLC, doing business as Rate Snoop. This policy explains how we handle information when you visit, join the waitlist for, or use PowerHost AI.

2. Information we handle
Account and request information. We handle your email address, authentication identifiers, account role, legal policy versions acknowledged during invitation setup or when a current policy update requires review, and information you submit through the waitlist or support.
Property operations information. This can include locations, units, amenities, reservations, availability, tasks, procedures, pricing information, owner and guest details, contact routes, notes, messages, and operational history supplied by you or an authorized integration.
Connected-service information. We receive data from property-management, communications, pricing, and other services you authorize. We handle connection credentials and tokens to maintain those integrations.
Google user data. When you connect Gmail, PowerHost accesses message content and headers only as needed for authorized search, reading, summarization, drafting, sending, and opted-in automation features on location-shared accounts. A personal Gmail account is not available to Automations. We do not maintain a general mailbox archive. Content or summaries included in a workspace chat or outbound message become part of that PowerHost record.
AI and product activity. We handle prompts, chat messages, agent responses, memories you ask the service to retain, approvals, action and automation records, generated files, and security and audit history.
Technical information. Our hosting, authentication, security, and application providers may process IP addresses, device or browser information, cookies, and request logs needed to deliver and protect the service. We do not add IP address or user-agent data to legal acknowledgement records.
3. How we use information
We use information to authenticate users; operate shared property workspaces; sync authorized systems; answer questions; draft and carry out operational tasks; generate images; request and record approvals; communicate with owners, guests, vendors, and team members at your direction; provide support; secure and troubleshoot the service; and comply with law.
PowerHost uses AI models to interpret requests and connected data, generate responses and work products, and select or prepare tool actions. Depending on configured permissions and the action, PowerHost may act automatically or require review and approval.
PowerHost does not use customer data, including Google user data, to train or improve generalized AI or machine-learning models.
We do not sell personal information or share it for cross-context behavioral advertising.
4. Shared workspaces and your instructions
PowerHost workspace records are location-wide by default. Authorized members of the same location may see shared chats, operational records, contacts, approvals, and connected property information. You may explicitly mark a new chat Private; only its creator can access that thread while they retain location access. Do not treat a shared chat as a private message.
Gmail can be connected for everyone at a location or only for the connecting user. Personal Gmail is available only to its owner in a Private chat and is excluded from teammates, shared activity and inbox views, and Automations. Location Gmail is available to authorized location workflows and members.
When you connect a service or direct PowerHost to contact someone or change an external system, information is exchanged with that provider as needed to perform your instruction.
5. How we share information
We share information with authorized members of your location; integrations you connect; and providers that support hosting, databases, authentication, storage, communications, monitoring, security, and AI processing. Those providers process information to provide services to us under applicable contractual obligations.
We may also disclose information to comply with law, protect rights and safety, investigate misuse, or complete a financing, merger, acquisition, or sale of the business.
When you ask PowerHost to search, read, summarize, draft from, or otherwise use Gmail content, relevant Google user data may be processed by contracted AI service providers only to provide the feature you requested. PowerHost's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements. We do not transfer Google user data for advertising or to data brokers.
6. Retention and deletion
Retention depends on the record and why it is needed. Account, workspace, property, task, conversation, action, and audit records generally remain while the service is active and as reasonably needed for operations, security, dispute resolution, and legal obligations. Waitlist and support information remain while we evaluate or respond to the request and for reasonable business recordkeeping.
Gmail mailbox content remains with Gmail. PowerHost retains only the records created through requested features, such as workspace chats and outbound messages. Terminal outbound message content is cleared after 90 days, while content-free lifecycle or audit records may remain. Disconnecting Gmail removes PowerHost's stored connection credential. Other temporary data and generated files are deleted after use or expiry when no longer needed.
When information is no longer needed, we delete or de-identify it, subject to backup, security, legal, and technical constraints.
7. Security and international processing
We use administrative and technical safeguards designed to protect information, including access controls and restricted storage for sensitive integration data. No system is completely secure.
PowerHost is operated from the United States. Information may be processed in the United States and other countries where our providers operate.
8. Your choices and rights
You can choose what information to submit, which integrations to connect, and whether to approve actions that require review. You can also ask an authorized workspace administrator to adjust access or disconnect an integration.
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information, or to appeal a response. Email support@ratesnoop.com to make a request. We may verify your identity and authority before responding.
PowerHost also processes owner, guest, vendor, and other personal information on behalf of property operators. Those operators decide why and how that information is used. If you are not a PowerHost user and your request concerns a property operator, contact that operator first; we will assist it with eligible requests as required.
9. Cookies and age limits
We use cookies and similar technologies required for sign-in, security, preferences, and core functionality. Browser settings may let you limit cookies, but doing so can prevent the service from working.
We do not use cookies for cross-site behavioral advertising or permit third parties to track users across unrelated services through PowerHost. Because we do not conduct that tracking, PowerHost does not respond differently to Do Not Track signals.
PowerHost accounts are for users 18 or older. Property operators are responsible for having lawful authority before providing information about minors.
10. Changes and contact
We may update this policy as the service or law changes. We will update the effective date. For material changes, we will provide notice through the service or by email and may require you to review the updated policy before continuing.
